About This Role
The Program & Sponsorship Officer provides operational leadership in the implementation of sponsorship programs within the assigned area by building staff capacity and making available tools that promote quality, responsible growth in alignment with sponsorship standards and guidelines; Provide technical and strategic support to the local partners in managing the sponsorship system, ensuring strict adherence to established procedures, effective use of data platforms (such as Salesforce and Camel), and compliance with quality criteria and required timelines; Support local partners in the planning, monitoring, implementation, and evaluation of their annual operational plans and specific projects (NSP, Golah, GIK, Grant), ensuring alignment with strategic objectives and organizational standards.

Required Experience and Education

Education:

  • Bachelor’s degree in international development, child development or related field or equivalent relevant work experience.

Experience:

  • 3 to 5 years of professional experience in program management and sponsorship coordination preferably within the nonprofit or development sector.
  • Experience and understanding of community and family care issues
  • Computer proficiency in general office software applications (i.e. Word, Excel, Outlook)
  • Understanding of sponsorship operations and workflows, sponsorship programming, sponsorship policies and standards.
  • Demonstrated analytical and reporting experience.

Primary Responsibilities

Safeguarding
Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy

  • Responsible for implementation and execution of sponsor relations activities and programs; coordinate with program staff on integrated activities as required. 
  • Ensure linkage between community initiatives and desired outcomes with sponsorship management and retention of sponsors
  • Provide support to the national strategic planning, development, implementation and monitoring processes in the sponsorship functions, alignment with programs. Together with the areas implement strategies and proposals for of sponsors. Support development and application of Sponsorship Monitoring and Reporting standards and tools for Areas/projects. 
  • Day to day management for high quality and timely process flow of sponsor/child correspondence;  provide support to the sponsorship team at AO to ensure that all child correspondence is satisfactorily processed and responded to within the set standards and ensure fast, efficient and comprehensive action on requests for information. Establish timelines met for each type of letter, and correspondence complies with quality standards.
  • Responsible for coordination of sponsor visits to include itinerary preparation, logistics, supervision and development of sponsor visit report
  • Adhere to childfund International procedures and policies.
  • Support quality improvements in the CO and LP offices to ensure adherence to policies, and standards related to sponsorship; oversight of compliance and performance in assigned areas and communities
  • Responsible for analysis of sponsorship information available through existing systems and databases and interpret trends and observations for management action. Develop reports from the sponsorship systems, manages sponsor inquiries, and coordinates sponsor visits. 
  • Provide support/analysis on sponsorship performance information and data from the local partner offices for program and management purposes; maintain calendar of key sponsorship activities/events; participate in sponsorship related processes and events to review the quality of sponsorship monitoring and reporting systems and tools; practices and processes; contribute to continuous improvement efforts.
  • In coordination with Programs, Finance and Assurance work with various LP offices in the development and utilization of agreed monitoring, evaluation, quality assurance tools and reporting procedures and to effectively improve the quality of sponsorship and programming.
  • Monitor the implementation of organizational standards, child benefit tracking, agreed sponsorship standards/ guidelines sponsor retention strategies, retention management, and integration of sponsorship with programs as required.
  • Participate in the strategic planning of the ChildFund Guinea Country Office.
  • Provide support to local partners in managing the sponsorship system, ensuring adherence to procedures, effective use of data platforms (such as Salesforce and Camel), and compliance with quality standards and deadlines.
  • Support local partners in planning, monitoring the implementation, and evaluating their annual operational plans, as well as specific projects (NSP, Golah, GIK, Grant).
  • Collaborate with local partners and relevant technical specialists from the country office to identify support needs related to project/activity implementation and capacity strengthening in key areas necessary for achieving their objectives, and ensure appropriate responses to these needs.
  • Report on the performance of local partners regarding the implementation of operational plans, special projects, sponsorship management, budget execution, and the regular use of the Camel platform for planning and reporting.
  • Implement any other assigned task in the interest of childFund Guinea.
